Refund & Cancellation Policy

Administrative and Application Processing Fee
GCI charges a separate $50 administrative and application processing fee to support application review, records administration, and required background screening activities. The fee is non-refundable except when a refund is required by applicable law or GCI’s governing Cancellation and Refund Policy. Payment does not guarantee acceptance or enrollment.
Cancellation Within 72 Hours
A full refund will be made to any student who cancels the enrollment contract within 72 hours, until midnight of the third day excluding Saturdays, Sundays, and legal holidays, after the enrollment contract is signed.
Refund Policy for Asynchronous Distance Education Courses
- Refund computations will be based on the number of lessons in the program.
- The effective date of termination for refund purposes will be the earliest of the following:
- the date of notification to the student if the student is terminated;
- the date of receipt of written notice from the student; or
- the end of the third calendar month following the month in which the student’s last lesson assignment was received, unless notification has been received from the student that the student wishes to remain enrolled.
- If tuition and fees are collected before any lessons have been completed, and if, after expiration of the 72-hour cancellation privilege, the student fails to begin the program, not more than $50 shall be retained by the school.
- If a student who enters an asynchronous distance education course terminates or withdraws after expiration of the 72-hour cancellation privilege, the school may retain $50 of the tuition and fees. The student will be refunded the pro rata portion of the remaining tuition, fees, and other charges that the number of lessons completed and serviced by the school bears to the total number of lessons in the program.
- A full refund of all tuition and fees is due when:
- an enrollee is not accepted by the school;
- the program of instruction is discontinued by the school and this prevents the student from completing the program; or
- the student’s enrollment was procured as a result of any misrepresentation in the school’s advertising or promotional materials, or by the school’s owner or representatives.
Active Military Service
A student who withdraws because the student is called to active duty in a military service of the United States or the Texas National Guard may elect one of the following options for each program in which the student is enrolled:
- A pro rata refund of advance payments for the portion of the program not completed, together with cancellation of unpaid charges for that portion.
- A grade of incomplete designated as withdrawn military and the right to re-enroll in the program, or a substantially equivalent program if the original is unavailable, no later than the first anniversary of discharge from active duty without additional tuition, fees, or other charges other than any unpaid balance from the original enrollment.
- An appropriate final grade or credit when the instructor determines that the student satisfactorily completed at least 90 percent of the required coursework and demonstrated sufficient mastery of the program material.
Enrollment Activation Timeline
After the signed enrollment agreement, required payment, and admissions clearance are complete, GCI generally schedules course access for the following business week and after the 72-hour cancellation period has expired. GCI does not normally issue a non-reusable student user ID before those steps are complete. This administrative scheduling practice does not create a separate refund deadline and does not waive, shorten, or replace any cancellation or refund right provided by this policy or applicable law.
Refund Timing
Refunds will be totally consummated within 60 days after the effective date of termination.
How to Submit a Written Request
Written cancellation, withdrawal, or refund requests should include the student’s full name, program, telephone number, email address, and requested effective date.
